Key tasks and responsibilitiesN Responsible of the support service which includeN finance, logistic, human resources, administrationN and general affairs of Jakarta Office of French Red Cross.
Specific Tasks: FinanceBeN responsible inN cashN managingN andN theN banksN accounts, cashN verification including checkN the validity of invoices before payment, payment record on a daily basis in the software and ensure the availability of funds in the account at any time;N Prepare the monthly treasury forecast for FRC Indonesia delegation;Be responsible to follow the reconciliation between expenditures committed and the budget forecast for FRC Indonesia delegation and analyze the differences between budget forecasts and expenditures done;N Make the budget for local running costs;Propose an update of Jakarta budgets according to the evolution of the activities and submit them to the Head of Delegation with explanations and appropriate comments.Logistic
Be responsible for logistic including inventories, workstation, accomodation and flight arrangement;Be responsible in all purchase and procurement process according to French Red Cross procedures;Prepare contract or purchase order for each procurement process;Be responsible for fleet management of FRC Indonesia Delegation. Human Resources Management of staff team, including recruitment and preparing work agreement;Be reponsible for visa / working permit arrangement for FRCN delegates;Follow up all types of absences, annual leave and health reimbursement of all staff. Administration and General Affairs Managing administration and support service;Support the Head of Delegation in scheduling activities, appointments, and meetings, and ensuring that logistical and administrative supports are provided for all scheduled activities;N Prepare business letter, report and other document;Maintain file and general office organisation. POSITION REQUIREMENTS: Education: Preferred university degree in relevant discipline (Social Science,N Development, Finance or other relevant fields)N
Experience: 5 years experience in administration and office management
Skills: Excellent communication skills both in Bahasa and English, in oral and written; Excellent knowledge in Microsoft Office; Ability to work in a diverse cultural context; Ability to work effectively within a team environment; Excellent knowledge of financial reporting Highly organized, assertive, ability to work to deadlines, attention to details, willing to learn and flexible Good work ethic and strong desire to complete tasks in a timely manner as directed
